Our Privacy Promise

This document sets forth the standards you can expect of us in dealing with any data you provide us with.

What You Can Expect From Us

  • Where you have a choice as to whether to provide us with your information, or what we do with it, we aim to make it is as easy as possible to exercise that choice.
  • We always set out the reasons for the collection of information, and only use it for those reasons.
  • The only information which we need is collected and processed.
  • Your personal information is seen only by authorised staff who need it to perform their duties.
  • Any information which we no longer need is deleted unless we are compelled to keep it by law. Where we cannot, we will make this clear.
  • We will provide you with the ability to review and manage your information.
  • Decisions affecting you are made only based on reliable and up-to-date information.
  • We will apply reasonable protections from unauthorised or accidental disclosure.
  • A copy of any information we hold about you is provided to you on request and we will honour your requests and rights, subject to the relevant appropriate legal restrictions and guidelines.
  • Any inaccurate or misleading information is checked and corrected as soon as you bring this to our attention.
  • We will put in place appropriate controls to manage any third-party vendor or supplier we deal with, holding them accountable via contract to specific standards, and ensuring they do not act without our instruction, passing on your choices and restrictions.
  • Proper procedures are in place for dealing promptly with any complaints that you make. The principles apply to personal information that we hold in all formats, including computer and paper-based records.
  • We will only share information with external agencies for specified purposes, for reasons required by law or with your consent.

Why a General Privacy Notice?

When the AI Society International (AISI) and its affiliates (collectively ‘AISI,’ ‘us’ or ‘we’) gather your information, we have a legal obligation to report fairly and to inform people of their rights about the way their information is managed. Even though, in our activities we seek transparency, openness, and ethics. This Data Protection Notice provides information on how we use Personal Data for our prospective and existing customers, partners and other individuals with whom we do business with (including “you”).

AISI members, affiliates, registered students and potential students

  • ubscribers to AISI magazines and other publications
  • representatives from employers of students and members
  • representatives of partner organisations and service providers
  • registrants for continuing professional development training courses or other events
  • donors and lenders as part of our benevolent fund
  • complainants and enquirers

Why Does AISI Hold Information on Me?

Administration of Studentship and Membership Records

In order to administer our AISI membership or studentship and to meet our regulatory duties, we shall hold personal information concerning the members, affiliates and registered students. For members, affiliates or enrolled students, it is also voluntary in certain situations to supply us with ethnic origins facts so that we can verify equality or opportunity of treatment.

Training and Examinations

Your information can be used to manage courses and examinations and to monitor learning providers and AISI students’ pass rates and performance. In order to give you with support during the examinations and to comply with different equality and disability legislation, we may use sensitive information to determine your eligibility for specific accommodations. Please note that certain examinations can be done online, and additional information for electronic processing may consequently be required to be collected.

AISI Exchange

This is a service delivered to employers and learning providers. It allows users to upload the AISI student data and monitor examination status and results AISI requires such employers and learning providers to obtain your consent before including your details on this service.

AISI Learning Community

To authenticate registrations with AISI’s Learning Community Services we will use your personal information. Developers also will use your information as part of your membership progress to create and validate your work experience.

AISI Connect

We will use your information to answer inquiries and to support you. Your AISI communications may be collected and retained for training and record-keeping purposes, including by e-mail, by SMS, by AISI customer contact center (or by other means). Records can be used for the monitoring and verification of the quality of the service being delivered. We will not use your information for the purpose of additional marketing or communication, if you publish or engage with us via social media, to get in touch with you in connection with the request, unless you consents to do so. We may share information with our suppliers to further assist you.

Communications (including marketing)

We use your information for marketing purposes and to send you relevant information about our qualifications, products and services and all other relevant events. We may use your personal details to send registrations or info packages, recruitment materials, surveys, questionnaires, AISI consultation invites, AISI training and event details, or to remind you of updates and changes to AISI products and services.

You will have the right to withdraw your consent for these at all times, and we will make this process as easy as possible. AISI may also send mailings on behalf of third parties (subject to your approval) without disclosing your details to those third parties. Consent may be asked on or separately through your AISI registration form. We will not pass your information on to other marketing providers and we will not sell your information to any third party.

Publications

You information will be used to manage AISI subscriptions, including student accountants, finance materials, teach accounting, accounting links, and business journals. We may also use information that you explicitly give us to promote AISI in public and advertising for the objectives of participation in AISI campaign programmes, internal or external publications. When taking part in public campaigns we will always inform you and request your explicit consent before utilizing your information.

Examples include ambassador and campaign leadership programmes or interviews conducted at public events Professional conduct, f or inquiries, investigations and complaints about members and enrolled students, we will use your information (or prospective and former students). Those issues may be sensitive in nature and, for those teams responsible for investigation and resolution of the relevant matters, AISI restricts internal access to information. Regulation of firms

For our regulatory activities including surveillance purposes, we shall use personal information of the nominated individual representatives of organisations.

Partner relationship management

In the context of our partner relationship management operations, we shall use personal details from nominated representatives of companies and other organisations, including accreditation, approved employers and applications from learning partners.

What Type of Personal Data Will AISI Collect About Me?

For the said reasons and/or objectives, we process information. These may include the following:

  • personal details
  • contact details and preferences
  • membership details
  • details of complaints
  • education and employment details

Details may include name, contact details, membership ID numbers, nationality, date of birth, dates of affiliation, membership or fellowship, and details of exam sessions, including course results, payments, queries and complaints. We also process sensitive classes of information that may include:

  • social circumstances
  • physical or mental health details
  • racial or ethnic origin
  • criminal records

How will AISI Collect the Information?

We will gather information directly from you (e.g. registration forms, change forms, fairs and events, and via our website) and create certain data internally (e.g. when we assign you an AISI ID or determine examination results).

Where we collect information, whether through websites, telephone or manual forms, we give a more targeted and detailed privacy statement at the time of collection that shows the information relevant to that product or service, and will explain why it should be collected. Some data from external sources may also be collected. For example:

  • Employers and learning providers may provide AISI with relevant information on members and students employed by and/or training with them, including where they are registering you for a course
  • AISI’s service providers (e.g. examiners and invigilators) will send AISI information relevant to the service they are providing
  • The general public may provide information to AISI in relation to complaints and/or investigations

How do I Keep MY Information up to Date and Accurate ?

Please note that it is your responsibility to inform us of any change to your contact details during your studentship or membership with AISI and to keep us informed of which courses you have attended to satisfy ongoing CPD requirements. We endeavour to provide self-service where possible, so you can review and update your own information at your leisure via AISI portal. You can always contact us through our contact center for updating your information if you do not have an AISI portal account.

Will My Data be Given to Anyone else ?

Service Providers

For the performance of the above-mentioned operations, for example, AISI uses a number of third-party service providers to send you mailings, to operate or conduct exams. Such service providers are requested by AISI to use your personal data strictly for the service concerned.

Joint scheme partners & other professional bodies In some countries, AISI operates joint qualification schemes with third parties. Both AISI and the joint scheme and other professional bodies will need to share information with each other in order to operate the scheme.

AISI Exchange Partners

Subject to your approval, certain information such as your name and test results will be shared with employers and educational establishments who receive this service.

Learning provider results service

In order to track their pass rate rates, some learning providers subscribe to an AISI “result services” that allows them to access exam results of students they have trained. If your information is used in this way, your learning provider should inform you separately. Your student results may be sent to other learning providers, where you have agreed to do so.

Continuing Professional Development (CPD) accredited employers AISI may liaise with employers who are accredited for CPD purposes to verify your employment with them and/or to validate their accreditation as a CPD provider.

Approved Employers

If you are employed by an organisation, which is a member of AISI’s approved employer scheme, AISI may liaise with your employer and provide relevant details, in order to validate your experience records or give you the opportunity to receive additional member benefits (e.g. training courses) (e.g. training courses). Employers may be provided with your student results, where you have given them your agreement to do so. General Public AISI shall disclose the client information in the directory of its members and the Analytics and Data Science Professionals registry.

Disciplinary hearings and results may also be published. Details verification and employment assistance We may provide relevant information for recruitment agencies, employees and educational or professional bodies (for example, for the purpose of helping you to find suitable work once you are qualified) if, subject to obtaining your consent, you are a student, affiliate or Member. We will also give information concerning membership verification, training and certification requirements.

Professional advisers, regulatory and legal authorities

In order to investigate complaints and disciplinary cases in order to exercise, or defend their legal rights or otherwise, in accordance with the requirements of the law, AISI may disclose your personal information to its professionals, law enforcement bodies, other professional bodies, other regulators or other third parties.

How Long Will My Data be held for?

We retain your information as long as it is required for the purposes indicated in the section Why does AISI contain information about me? above. For other legitimate purposes (including following termination of your connection with AISI), we may additionally preserve some documents for example to settle any potential disputes, check future applications for membership and meet other reporting and maintenance duties.

Individual’s rights are qualified (meaning they may not have these rights at all times, or in all circumstances), but generally speaking, individual’s rights include:

  • the right to complain (to both the AISI and the regulator)
  • the right to object, block or put on hold processing
  • the right to be forgotten
  • the right of data portability to another provider
  • the right to be compensated for damage or distress

We strive to give a self-service kind of service, but you can also log on to your account and review and update your own information, or you can phone our contact center.
